Key takeaways
  • 83% of people say that they struggle to reconcile expenses
  • Manual reconciliation relies on people catching errors manually, which makes mistakes and inconsistencies almost guaranteed
  • Smart expense automation gives finance teams cleaner data, fewer surprises, and more reliable reconciliation

If your expense management seems to be going smoothly, it’s probably because you have a strong finance team who are quietly keeping spend under control with a solid reconciliation process.

When reconciliation runs well, expenses are drama-free. Your reports are more reliable, budgets are easier to manage, and people get reimbursed on time.

For most organizations however, it’s more likely that this isn’t quite how things feel day to day. In fact, 83% of people we surveyed said that they struggle to reconcile expenses.

This normally happens when teams are relying on manual steps, such as chasing missing receipts and rekeying data, which can add unnecessary friction to the process. This is known as shadow work, costing US businesses $564bn per year. Our report found that in the US, an average of 113 minutes is spent filing expense claims each time the task is performed.

With the right automation in place, a lot of that chasing and rekeying disappears so that reconciling expenses starts to feel a lot less painful for everyone involved.

What is expense reconciliation?

The term reconciliation is used in finance to describe the process of cross-referencing and confirming the alignment of two sets of records.

There are different types of reconciliation in accounting, but in the case of work and travel expenses, it typically involves:

  • Looking at what team members and systems have recorded as expenses (such as expense reports, receipts, and invoices)

  • Comparing those records to “real-world” sources like bank statements and card transactions

  • Fixing any differences so that books are accurate and up to date

The main objective is to ensure the accuracy of financial documentation, verify that the income statements and expenditures in your accounts correspond exactly with your financial records, and to detect any errors, fraudulent activities, or misconduct.

Checking that your spend matches up

Mistakes are easy to make, and they’re even more likely with a manual process, which is prone to risks and errors.

By verifying that your spend reflects what has been reported, you are making sure that a mistyped amount, duplicate claim, or missing receipt won’t distort the books and that payments are accurate. It also reduces the risk of non‑compliance, misuse and fraud.

Currency mix-up

Charlie visits a client at their head office in Europe and pays for some dinners while they are there. They paid for the meals in the local currency (euros), but out of habit, they entered the amounts into their expense management system as dollars.

At reconciliation, finance can see that the total reported doesn’t match the card statement. The correct amounts can then be recalculated, and data entries and reporting can be updated.

An accidental dupe

Mateo’s manager books him a round-trip journey using the company card for some upcoming work travel. When Mateo is entering the expense, he accidentally adds the rail ticket to his expense report, forgetting he didn’t actually pay for it himself.

During reconciliation, the ticket appears twice: once on the card feed and once in Mateo’s claim. The duplicate can be rejected with records updated and the change communicated back to Mateo.

Date mismatch

Taylor books flights for a client meeting, but the trip is moved by a week. The airline reissues the ticket, but both the original and amended charges show up differently across the booking system, card feed, and expense report.

Reconciliation shows that the dates and references don’t fully align across the records. The correct charge can be validated, the incorrect one removed, and the reporting updated.

Why it’s time to move on from a manual workflow

Relying on manual processes is time-consuming, error-prone, and often involves a significant amount of human effort, adding extra steps to the reconciliation process.

A chart shows 54% of US business travelers struggle to track receipts, suggesting a need to move from manual workflow. Our survey on work travel and spending found several key challenges reported by people who travel for work:

  • 83% of employees struggle to reconcile trip expenses

  • 28% experience delayed reimbursements

  • 1 in 4 (24%) say their expense process is too complicated

The same amount (24%) believe that automating expenses with AI is key to improving their experience

Common pain points of a manual process

Missing invoices and receipts

  • Invoices and receipts get lost in inboxes, piles of paper, or shared folders, which slows down reconciliation and leaves gaps in the records.

  • Finance teams end up chasing colleagues for documents, delaying month‑end and creating frustration on both sides.

Errors requiring rework

  • Mistyped amounts, incorrect categories, and missing information happens easily when everything is done by hand.

  • These errors are often only spotted later in the process, forcing finance teams to spend extra time investigating and correcting past entries.

Data spread across sources

  • Expense data lives in multiple places such as card statements, bank feeds, booking tools, email approvals, and paper receipts.

  • Pulling everything together into a single, accurate view is complex and time‑consuming, increasing the risk that items are missed or duplicated.

Non‑compliant receipts and expenses

  • Claims that do not meet policies (e.g., wrong documentation, missing details, out‑of‑policy spend) and legal regulations are hard to spot quickly and easily in a manual review.

  • This creates extra work for finance, weakens policy enforcement, and puts the company at risk of fines and legal issues.

Exposure to expense fraud

  • Without systematic checks, it is harder to detect claims that may be fraudulent. This might include deliberate duplicate claims, inflated amounts, or personal spending submitted as a business expense.

  • Over time, it can lead to significant losses and regulatory issues, undermine financial integrity, and make it difficult to prove that the required controls are in place.

Time-consuming processes

  • Manual steps across the process are time-consuming, with manual reconciliation often involving rekeying data, copying from spreadsheets, and checking line items one by one.

  • This takes up a significant amount of the team’s time every month, turning what should be a routine control into a recurring headache for the business.

Issues and risks from manually reconciling expenses

Method
What it involves
Issues and risks
Paper records
People submit paper receipts and forms, which finance then sorts, checks, and keys into the system
Very time‑consuming and error‑prone, easy for receipts to be lost or damaged, and finance only sees the full picture at month‑end. This limits visibility and makes it harder to spot issues early
Excel spreadsheets
Expenses are logged and reconciled in shared spreadsheets, often maintained by finance or individual teams
Heavy reliance on manual data entry and copy‑paste, risk of broken formulas, version control issues, duplicate entries, and hidden errors that are hard to trace
Emails and shared folders
Receipts and expense details are emailed to finance or dropped into shared drives for manual review
Information is scattered across threads and folders, it’s hard to track status or maintain an audit trail, and it increases the chance of missing or inconsistent data
Basic accounting software
Expenses are recorded directly in tools but supplemented by manual uploads and checks
Core bookkeeping works but workflows can be inefficient at scale. There is limited automation around approvals and matching, and integrating data from cards, travel tools, and other systems still requires manual work
Standalone expense tools
Expense tools are used for capture, but reconciliation still depends on exports, manual matching, and offline approvals
Some automation on the front end, but finance still spends time matching records, chasing exceptions, and stitching together data from multiple sources

Automating the expense process for easier reconciliation

End-to-end automation is the easiest way to streamline your reconciliation process, as it connects bookings, card payments, and expenses in one place.

When it comes to reconciliation, an all-in-one smart platform will have already done the legwork for you by automatically recognizing, validating, and matching receipt data with card payments. This removes the hassle of manual cross‑checking and keeps all your company spend organized in one central platform with clear visibility.

An automated process typically looks like:

  • Step 1: Automated receipt submission and data extraction

  • Step 2: Automated categorization and validation

  • Step 3: Automated compliance checks

  • Step 4: Automated expense matching and reconciliation

  • Step 5: Data review and approval

  • Step 6: Booking and expense reimbursement

Automated receipt submission and data extraction

A smartphone screen displays a café receipt. Next to it, icons show expenses: Café $17, Flight ticket $400, Hotel $210.Automated travel and expense platforms let team members capture receipts digitally through a mobile or web app.

The system uses technology to read the receipt and extract key details like date, merchant, amount, currency, and tax requirements, so there’s no need to type them in manually.

Receipt capture: Team members upload receipts using a mobile or web app.Data extraction: The receipt image or file is read by AI which automatically extracts relevant details.

Automated categorization and validation

Interface showing options to download invoice, purchase a $400 flight ticket, and $35.20 travel to meeting. Includes verified badge and tax info.Once the data is extracted, rules can be applied to categorize each expense instantly (e.g., flights, hotels, meals, client entertainment) and assign them to specific projects. The expense report will be automatically filled with relevant information extracted from the expense upload process.

At the same time, AI can check that the information is complete and consistent with basic rules (e.g., valid dates, realistic amounts, supported currencies) before the expense moves on.

Categorization: Automated rules that decide what type of expense has been uploaded and where it belongs.Validation: Checking captured data for completeness and basic accuracy.

Automated compliance checks

Hands typing on a laptop with a checklist displayed beside, showing verified policies for supplier, PO matched, goods receipt, tax rate, and spend limit. This is when an automated platform checks each expense against company policies and US or state-level regulatory requirements. These might include daily or trip‑level limits, allowed and disallowed merchants, required fields, and any tax criteria.

Potential issues like duplicates, policy breaches, and unusual patterns can be flagged automatically and trigger notifications instead of having to wait for a manual review. This makes it easier to spot fraudulent items or recurring mistakes, where further team support may be necessary.

Policy checks: Automatically comparing expenses against set company rules.Regulatory checks: Systems can apply tax rules and local compliance settings, flagging anything that looks out of line.

Automated expense matching and reconciliation

A list titled "perk" shows three items: Lighting package, Event stand, and Awards dinner, each marked as "PO matched," categorized under Events, Marketing, and Sales.Card transactions can be automatically matched to the uploaded expense based on amount, date, merchant, and reference data. This helps the platform spot mismatches and duplicates in real time, reducing the risk of reimbursing the same item twice or leaving card spend unreconciled.

It normally happens in the background, in parallel with the compliance checks, and only takes a few seconds. Because items are linked as they happen, the final reconciliation step is more about reviewing exceptions than rebuilding entire data from scratch.

Expense matching: Card transactions and travel bookings are automatically matched to the correct expense entries.Duplicate detection: If the same spend appears more than once (for example, both on a card and in a claim), the system can flag it before reimbursement.

Data review and approval

A person holds a smartphone near an airplane window. Overlaid text displays expense receipts, with trip expenses totaling $986 marked as matched. With most of the data captured and already checked by an automated system, approvers can easily review structured, pre‑validated expense information rather than raw receipts.

Platforms typically route each expense through a set approval path and follow configurable workflows which keep a clear audit trail of who approved what and when.

Structured review: Approvers see expenses with all relevant data already extracted, categorized, and checked.Routing rules: Configurable rules that let the system know where the expense needs to be sent for approvals (e.g., line manager, project owner, budget holder).

Booking and expense reimbursement

Invoice dashboard showing amounts from September to December with a modern building and blue sky in the background, with "perk+" logo.Once expenses are approved and if no policy violations are detected, systems will send the cleaned data to enterprise resource planning (ERP) systems automatically. Platforms like Perk have integrations with leading systems such as SAP, Oracle NetSuite, and Microsoft Dynamics 365.

Helping the month-end run more smoothly, the process includes mapping expenses to the correct general ledger accounts, handling multi‑currency conversions, and preparing data for tax reclaim where applicable.

This enables fully automated expense reimbursements, shortening the overall waiting time and keeping colleagues happy.

Booking to accounts: Approved expenses are posted to the correct general ledger accounts and periods, including any currency conversions or tax treatment needed.Reimbursement: People are reimbursed using the reconciled data, often via payroll or a dedicated payment run, with less need for manual adjustments.

Case Study: How the International Testing Agency cut out manual matching

The International Testing Agency (ITA) came to Perk with an expense process similar to a relay race. Every expense document had to pass through multiple hands before reimbursement and posting could begin to take place, and teams were burdened with the manual task of collecting and reconciling receipts.

The ITA’s quest for a game-changing solution led them to Perk’s AI-powered spend management suite. Perk helped seamlessly streamline the ITA’s entire expense process with remarkable precision, from capturing detailed receipts to final reconciliation.

“Before, when a receipt was missing, the finance team had to chase after it. Now, Perk does it automatically. The system prefills the relevant information, so it’s very accurate.”
Rafael Saya - Senior Finance Manager at ITA

The ITA’s entire expense process now takes only 6 days, compared to 14 days in the past.
