There are numerous factors to consider when finding a hotel for a work trip. The price is an important one, of course, as is location. Flexible booking is increasingly another sought-after factor. Travel disruption is hitting businesses harder than ever. In 2025, 89% of business travellers were affected by travel disruptions, the highest number from the past three years. A flexible hotel booking can save businesses time and money in these situations.

Flexible cancellation policies are also useful for business travellers whose plans aren’t set in stone or are likely to change. Perhaps a client postpones a meeting. Maybe a site visit needs to be rescheduled. A flexible hotel booking means any last-minute business updates are dealt with speedily, without incurring any extra fees or costs to your business.

What does a flexible rate mean when booking a hotel?

Flexibility usually takes two potential forms when it comes to hotel bookings:

  • Flexible cancellation - You can modify or cancel the booking without being charged a fee. Commonly, this applies until a defined date, such as 7 days before check-in.

  • Flexible dates when searching - This allows travellers to search for hotel rooms and gauge general availability and prices, even if the exact travel dates are not yet known. 

Both of these additional features allow hotels to be booked without committing to exact dates, meaning they can be booked prospectively and in advance. That can be very useful for travel and HR managers making multiple bookings for several employees across a business.  

In some cases, hotels allow their rooms to be booked without taking prepayment. In conjunction with free cancellation, this can be of great benefit for business cash flow.

Some hotels also quote cheaper rates the further in advance that you book, meaning that combining a flexible hotel room rate and early booking will balance cost and convenience perfectly.

In theory, business travellers could book multiple hotels for one trip, narrowing it down as the check-in date approaches to get the best possible deal. If a better price is found at the last minute, employees can simply make the new reservation and cancel the refundable hotel bookings.

Major hotels offering flexible accommodation

The process of finding and booking rooms with flexible rates varies from company to company. Here are 5 global hotel chains that offer flexible policies and refundable hotel rooms, as well as corporate rates.

Hilton

Like many other hotels and travel service providers, Hilton hotels allow travellers to shop by price with a flexible travel date. As for free cancellation rates, it varies from hotel to hotel. The Hilton website states: “Guests may cancel their reservations at no cost within the timeframe of the cancellation policy set by the hotel. For reservations cancelled past the cancellation date, a late cancellation fee may apply, which varies by hotel.” 

Hyatt

Similarly, each Hyatt hotel is subject to different cancellation policies depending on the rate chosen, loyalty programmes subscribed to and so on. The cancellation terms and rate details are visible at the time of making any direct bookings and are also sent in the confirmation email.

Most hotels which do offer free cancellation with certain rates give their customers up to 48 hours before arrival to cancel free of charge.

Hyatt does not allow prospective guests to search for rooms with flexible dates.

InterContinental Hotels Group (IHG)

IHG’s Best Flexible Rate is aimed at travellers looking for flexibility at the best available rate and there is also no prepayment required. This also depends on the individual hotel’s cancellation policy so customers are advised to check for any cancellation or change fees that might apply. 

Generally speaking, IHG hotels offer free cancellation up to 1 day prior to check-in. You can also search for rooms with a flexible date in mind.

Marriott

Marriott hotels cancellation policies also vary from hotel to hotel. Many have flexible rates which allow you to cancel, free of charge, up to 24 hours before the check-in time.

When searching on Marriott's website, customers can opt to use the flexible dates search function which can help you choose the best available rates if you are not tied to specific dates.

Radisson

Radisson hotels also differ in their cancellation policies depending on the rates you choose. Paying a little more for a rate that offers flexible booking can give you the possibility of free cancellation up to 48 hours before the scheduled arrival date. There is also a flexible dates function.

  • Hotels charge an extra premium for flexible hotel rooms, as they take on the financial risk if the room stays unsold.

    • A modern approach to this challenge is to find flexibility through travel management platforms, rather than directly through hotels.
