Hotel billback

Hotel billback is a payment arrangement where a hotel sends the bill directly to a traveller's Travel Management Company (TMC), which then invoices the traveller's organisation—allowing business travellers to check out without paying out of pocket.Hotel billback is a way of allowing business travellers to stay at hotels without having to pay their hotel bill on departure. When using billback, a hotel sends the bill to a traveller's travel management company (TMC)—a company that handles corporate travel bookings and billing on behalf of organisations—who then invoice the traveller's organisation. The same method can also be used for the payment of conferences or venues.

How does hotel billback work?

Hotel billback follows a straightforward process:
  1. The traveller books accommodation through their organisation's TMC.
  2. The traveller checks out of the hotel without making a payment.
  3. The hotel sends the bill directly to the TMC.
  4. The TMC invoices the traveller's organisation.
  5. The organisation pays the TMC according to their agreed billing cycle.
Example: A traveller stays at a Marriott for three nights. At checkout, they simply hand back their key. The hotel bills the TMC directly, and the TMC invoices the employer within 30 days.

Benefits of hotel billback

  • Removes out-of-pocket expenses for travellers
  • Simplifies corporate expense reconciliation
  • Reduces reimbursement delays
  • Streamlines payment for conferences and venues
  • Gives finance teams clearer visibility over accommodation spend

Limitations of hotel billback

Billback is offered by most travel management companies, however it's important to understand the restrictions:
  • Some TMCs only offer billback for UK properties
  • Certain hotel chains may not participate
  • Selected TMCs limit billback to specific property types
  • Additional service fees may apply
  • International availability varies by TMC agreement

Hotel billback vs. hotel prepayment

With hotel billback, payment happens after the stay—the hotel bills the TMC, who invoices your organisation. With hotel prepayment , the accommodation is paid for in advance, often at the time of booking. Billback offers more flexibility for changes, while prepayment can sometimes secure lower rates.
