How Fieldin reached nearly 100% travel policy compliance after switching to Perk
Improving the business travel process for the Fieldin team
Fieldin helps high-value crop growers in digitising their operations for greater efficiency. By leveraging data from smart sensors installed on their existing equipment, Fieldin enables customers to track activities and gain actionable insights with ease.
Since Fieldin’s work involves meeting with customers directly to ensure everything is operating smoothly and effectively, travel is an essential part of their business model. For years, however, their travel booking process wasn’t optimised to support this hands-on approach.
Vicki Framsted, Fieldin’s Senior Finance Manager, has made many valuable contributions to the company, including improving FieldIn’s approach to travel by reviewing and updating the travel management program on record.
With the previous platform, Navan, the process was confusing and time-consuming. Travellers would first create a trip proposal in Navan, which would then be sent to Vicki for approval. She spent hours overseeing the program and ensuring that people adhered to policy.
Frustrated, Vicki knew there was a better way to do things. She proposed that Fieldin change travel management software platforms. The company decided to switch to Perk—and were amazed by the results.
Implementing Perk with a HiBob integration
The Perk rollout was quick and seamless. Fieldin easily integrated Perk into their HR solution, HiBob HR platform, which automated the transfer of relevant personnel information without needing to upload a CSV.
Vicki managed the implementation with the help of Will Haley, Perk’s Senior Implementation Specialist. She then handed the integration over to Fieldin’s HR Director, who was able to complete the task in no time with Perk’s support.
Hours of valuable time saved each week
Perk’s automated policies have been a game-changer at Fieldin. Processes that used to take hours are now completed in just minutes.
Managing four offices worldwide, Vicki once struggled with coordinating approvals across time zones and keeping up with personnel changes. When employees tried to book travel outside Vicki’s office hours, they’d end up having to book for themselves and wait for reimbursement through another platform. Now, travellers can book fully autonomously using Perk.
Seamless booking with automated policies
Since Fieldin’s travellers are always on the road, a smooth booking process is a must. With Perk, there’s no back and forth—employees can just look and book. And since the travel policies are built into the platform, Fieldin has achieved nearly 100% compliance.
Travel admins can change trip dates or other details instantly. If a traveller makes a minor mistake, like selecting the wrong department, Vicki can simply modify it before approving the trip.
“Insane cost savings” and a “near perfect” travel inventory
Switching to Perk didn’t just save time for Fieldin—it also saved them a lot of money. Instead of paying the same flat rate on every trip, they pay a single monthly fee plus a small percentage of the trip cost. Perk’s straightforward pricing plans just made sense.
Not only is Perk cost-effective, it also offers real value for money with features like travel management reporting and duty of care. When Fieldin’s CFO asked about travel spend, Vicki was able to easily source the data she needed using the platform. She also loves being able to track where employees are during their trips, using the concierge service to request a booking, and knowing that travellers have access to 24/7 support, regardless of their time zone.
Fieldin now books nearly all their trips within the Perk platform. They’ve found that our industry-leading inventory is more than sufficient to meet their needs, with Vicki calling it “near perfect.”
Warm, friendly and personalised service
Every step of the way, Perk staff have been there to support Fieldin with their travel management needs. The teams have developed a great relationship, with Fieldin staff able to call on Perk any time they need assistance.
When Vicki ran into an issue with the HiBob integration, she was able to get on a call with Will Haley, her implementation specialist, the very next day. Within five minutes, they found a solution. She also found her assigned account manager, Ben Savage, and sales representative, Sam Markowitz, to be helpful and patient.
Overall, switching to Perk has yielded a lot of fruit for Fieldin. From cost savings to a better traveller experience, they’ve enjoyed improved business results and smoother day-to-day operations. Vicki even jokes: “I might need to get a Perk tattoo because I love it so much!”
